The Student Parent Liaison, situated in the Dean of Students Office, provides assistance to students and their families in emergencies or in times of crisis. When stressful situations arise, it can often be difficult to locate or remember the resources available to you. The Student Parent Liaison's primary role is to facilitate connections between students, their families, and resources to support them during these challenging times. Please never hesitate to contact us.
Contact the Student Parent Liaison by email at sa-studentparentliaison@ucsb.edu or calling 805-893-4521.
Below, please find information on a few frequently-requested services. Requests can often be completed directly by the student using this information. The Student Parent Liaison is always available to assist - please reach out using the contact information above.
- Withdrawing from the university once the quarter has begun: Students and families are often surprised to hear how straightforward this process is. To withdraw from the quarter once it has begun, complete the DocuSign form under "Complete Withdrawal" here. Please note that the date within the quarter you withdraw will impact any potential partial refund amount.
- Even if a student is not sure when they will return to campus, it is important to select the option that requests "Consideration for Readmission in the Next Quarter." This simply gives a student the option to return in the next quarter, but does not obligate them to do so.
- Canceling a quarter before it has begun: If you decide you will not be attending a given quarter prior to the start of that quarter, you can cancel registration online using the GOLD system. To do so:
- Log onto GOLD.
- Click on the "Progress" tab on the top right hand side.
- Click on "Petitions".
- Click on "Initiate Quarter Cancellation".
- Select the appropriate quarter and reason.
- Click on "Continue to Confirmation Page".
- Read and check the box.
- Click confirm and your quarter has now been canceled!
- Summer Sessions: For more information on canceling or withdrawing from a summer session, please visit their website.
- Connect with an academic advisor: Many academic questions require the expertise of a trained professional. Our academic advisors fully understand the nuances and implications of all types of academic concerns and personal needs, and can give advice tailored to a student's unique situation. Advising appointments are available online or in person.
We have a number of mental health resources to support our student population. If you are concerned about a student, you can make a referral to Student Mental Health Coordination Services, either by going to their website or by calling 805-893-3030. If you have immediate concerns about a student's safety, you should always call 911.
Students seeking mental health support on campus can see a counselor at Counseling and Psychological Services (CAPS) at no additional cost to them. Appointments are often available within a week and can be either in person or virtual. For more information and instructions on how to get started with CAPS, please visit their website or call 805-893-4411.
We are always so sorry to hear that one of our students is in the hospital and appreciate the opportunity to support them and their loved ones during these difficult times. If a student is able to do so, the best first step is for them to contact their instructors to notify them of the situation and ask for accommodations that would be most helpful. In cases where a student is unable to contact instructors on their own, please contact the Student Parent Liaison who can notify faculty on a student's behalf.
Upon returning to campus, students may need extra support to access their academics. In these cases students may qualify for accommodations through our Disabled Students Program (DSP). Information on how to register with DSP, including instructions on how to submit documentation, can be found on their website.
UCSB has a Mobility Transport program that may be able to support students when they need additional help getting around campus due to an injury, illness, or disability. For more information about this program or to request to join the program, please visit their website.
Another resource that can be particularly helpful as a student transitions back to campus after a serious illness or injury is our Social Work Services team, who can help coordinate services to support students physically and emotionally.
The loss of one of our students is heartbreaking and very impactful to the UCSB community. We are here to support families as they navigate this devastating time. We will provide coordination and guidance, and serve as the liaison between the University and a student's next of kin regarding University matters. We will also:
- Notify University officials and academic department chairs.
- Serve as the liaison for family members inquiring about students' University matters, such as financial concerns, housing, retrieval of personal belongings from campus housing, and posthumous degrees.
- Connect students, faculty, and staff with emotional and mental health support resources.
The Dean of Students Office is here to support all members of our campus community in these difficult times. If you are made aware of the death of one of our students, please notify either the Student Parent Liaison (sa-studentparentliaison@ucsb.edu) or contact Associate Dean for Student Life Kim Equinoa (equinoa@ucsb.edu). When you contact us, we ask for the following information:
- Student's full name
- Student's UCSB Perm Number (if known)
- Name and contact information of next of kin (if known)
- Date and cause of death
- College and/or major (if known)
- Enrollment status
- Residence (on or off campus, if known)
- Name and contact information of student friends/campus affiliations (if known)
If you are a member of the UCSB community and have been impacted by the death of a student, know that support resources are available to you. Students should contact Counseling and Psychological Services (CAPS) either by calling 805-983-4411 or visiting their website. Staff and faculty can access confidential mental health resources through the Academic and Staff Assistance Program (ASAP) by calling 805-803-3318 or emailing asap@hr.ucsb.edu.
Undergraduate or graduate students who need to take an unplanned temporary break from their studies at UCSB, whether due to an emergency, medical issue, accident, death or illness of a close family member, immigration enforcement issue (e.g., deportation of a student or a family member, visa cancellation), or other reason may seek assistance through the Dean of Students Office. International students on approved visas should also contact the Office of International Students and Scholars.
The Student Parent Liaison can assist students with filing withdrawals, incompletes, notifying faculty of extenuating circumstances, and referring to specific staff in other campus offices who can offer further assistance (e.g. Housing, Financial Aid, etc.). Students who are able to take care of these things on their own will be responsible for following through with any necessary paperwork. If the situation makes it impossible for the student to personally complete required paperwork, (e.g. serious hospitalization, limited or no access to the internet, etc.) the Student Parent Liaison can help.
To reach the Student Parent Liaison, email studentparentliaison@sa.ucsb.edu or call 805-893-4521. Be sure to include the following information in your email or phone message:
- Your name
- Perm number
- Phone number and the best time and preferred way to contact you, preferred language (English, Spanish, Tagalog, etc.)
- A brief description of the situation and what you will need assistance with. If this is an immigration enforcement issue and you are or will no longer be reachable, please specify and give your written/verbal authorization so that we may make arrangements on your behalf regarding academics, university housing, financial aid, etc.
Help with Academics
- The Student Parent Liaison can discuss your options for either finishing the quarter, taking incompletes, or filing a withdrawal or cancelation, and how to navigate these processes with the college. They can also assist with these processes and/or can assist with contacting instructors if the student is unable to do it themselves.
- UCSB remains committed to every student's success, even if there is a need to pause for a quarter or more. Students who withdraw completely from all classes for a quarter may need to fill out readmission paperwork in order to return, which in most circumstances will be approved if the student left in good academic standing. There is no time limit for returning to complete a degree, however, we encourage students to work with an academic advisor in their college to plan their return. (Please note: Newly admitted undergraduate students who cancel their enrollment prior to completing their first regular academic quarter will not be eligible for readmission/reinstatement and must apply to the University through the regular undergraduate admission process and deadlines.)
- In rare and unique circumstances, some faculty have been willing to allow students to complete classes remotely. However, this is provided at their discretion and is not guaranteed.
Help with Financial Aid
- You may text the Office of Financial Aid and Scholarships at 805-585-5821.
- If you wish to withdraw for the quarter, or lower your unit load for the quarter, your financial aid may be affected. There are ways we can help, but the sooner you let the Student Parent Liaison and the Office of Financial Aid and Scholarships know, the better.
- Emergency funding may be available depending on the student's circumstances.
- Graduate students should also contact the Graduate Division for specific questions about graduate student aid.
Help with Housing
- If you live in campus housing, and are planning to withdraw, it is important that you notify Housing of your absence and any plans to return. The Dean of Students Office can help connect you to the appropriate person or make contact for you if you are not able to do so.
- If you live in off-campus privately owned housing, you will need to coordinate any accommodations with your housemates and landlord.
Medical/Mental Health
- The Student Parent Liaison can help assess the potential impact of fully withdrawing from the quarter on health insurance, if the student has UC SHIP. Students who remain enrolled in one or more courses will not have their UC SHIP affected. If a student withdraws mid-quarter, UC SHIP remains active until the end of the quarter but may not roll over to the next quarter.
- UCSB mental health services are typically still available during the quarter that a student has withdrawn. Social Work Services are available even when students are not enrolled.
Undocumented Student Services
- Undocumented Student Services (USS) supports students who are undocumented (with or without DACA) and from mixed status families (meaning that the student is not undocumented, but a family member is). USS can help students navigate challenges with the immigration system and other matters.
- Through the UC Immigrant Legal Services Center (UC Imm), free immigration legal services are offered to UCSB students and their immediate family members (e.g. mom, dad, stepmom, stepdad, sibling, stepsibling). Some of their services include legal representation in deportation proceedings, legal intakes, DACA renewals, U-Visa application, Violence Against Women Act (VAWA), and more.
- You can reach USS at sa-eopundocstudentservi@ucsb.edu or 805-893-5609 and UC Imm Staff Attorney, Andres Lemons, at andres.ucimm@law.ucdavis.edu.
Basic Needs Resources
- Assistance with basic needs may still be available to students who have paused their education. Contact the Basic Needs Office for assistance.
